Delete your Keito account

This page explains how to delete a Keito account and the data held with it. It applies toKeito Time Tracker for Android and iPhone, the Keito desktop apps for Mac and Windows, and the Keito web app at app.keito.ai. Keito is provided by OSO DevOps Limited.
You do not need the app installed, and you do not need to sign in, to read this page or to send a deletion request.
If you own the workspace
Workspace owners can permanently delete the whole workspace, and all of its data, themselves.
- Sign in to Keito on the web at app.keito.ai.
- Go to Settings and open the Billing tab.
- Scroll to Danger Zone and select Delete account.
- Review the preview of what will be deleted, then confirm the three acknowledgements.
- Type the confirmation phrase and your owner email address, then select Delete account.
Keito runs the deletion in the background and signs you out when it finishes. Deletion is permanent, so export anything you need to keep first. The full walkthrough is inDelete account and data.
If you can no longer sign in, send us a request as described below, from the workspace owner's email address.
If you are a member of a workspace
If your employer or another organisation added you to Keito, that organisation controls the time entries and expenses you record in its workspace. Under UK data protection law it is the controller of those records, and OSO DevOps Limited processes them on its behalf.
To delete your account, either:
- Ask your workspace owner or administrator. They can remove you from the workspace and tell you what happens to your records.
- Or email support@keito.ai with the subjectAccount deletion request, from the email address you use for Keito. Include the name of your workspace.
When we receive a request from a member, we:
- confirm it came from the email address on the account;
- tell your workspace owner, because they control your time entries and expenses in that workspace, and act on their instructions for those records;
- delete your Keito user account and the personal details we hold about you, except anything listed under What we keep.
Delete some data but keep your account
- You can delete your own time entries and expenses in the Keito app or on the web. Entries that are locked, approved or invoiced cannot be changed; ask a workspace administrator.
- Signing out of the Keito mobile app removes your sign-in and the data the app saved on your phone. Anything saved offline that has not synced yet is lost when you sign out.
- To ask us to delete other specific data, email support@keito.aiwith the subject Data deletion request and tell us what you want removed.
How we handle your request
- We reply to confirm we have your request within 5 business days.
- We complete it within one month. If a request is complex, UK data protection law allows up to two further months; if we need longer, we will tell you why within the first month.
- To confirm the account is yours, we normally only need you to write from the email address on the account. We ask for more only if we cannot confirm it that way. Never send us a password or an API key.
- We confirm by email when deletion is complete and tell you about anything we have had to keep.
What we delete
- Your user profile: name, email address and sign-in details.
- Time entries, timers, notes and internal notes.
- Expenses and receipt files.
- When a whole workspace is deleted, also its clients, projects, tasks, invoices, estimates, files, audit logs, integrations and the connected-service credentials stored in Keito.
What we keep, and for how long
- Billing and transaction records: 7 years, to meet UK tax and accounting rules.
- Technical logs: up to 90 days, for security and troubleshooting.
- Limited records needed for security, a legal obligation, dispute handling, or to confirm the deletion completed, kept only for as long as that purpose requires.
- Aggregated or anonymised usage statistics that cannot identify you or your workspace.
- A user account that also belongs to another Keito workspace, so that workspace keeps working. Only your access to the deleted workspace is removed.
- Copies held by services you or your workspace connected, such as accounting, payment or calendar services. Those services keep them under their own policies, so delete them there.
