Built around the work before the invoice
Trello teams usually manage client work as cards on a board, add a third-party time-tracking Power-Up or a shared spreadsheet for hours, then total those hours by client and type an invoice into QuickBooks, Xero, FreshBooks, or similar. Trello handles the visual workflow well; the gap is a product step that reviews billable hours at each person’s rate and raises the client invoice from that approved record. Keito closes that gap in one workspace while your boards stay in Trello.
Set up clients, projects, and tasks in Keito
Create the clients, projects, and tasks your team bills against, with project budgets by total hours, total fees, task, or person. Keito does not import Trello boards or create projects from cards, so you set up the billing structure once.
Track time from Trello cards or with AI drafts
With the Keito Power-Up, each person picks a Keito project and task on a card, then starts a timer or adds completed time, and the card link is saved with the entry. Keito can also draft time entries from the work a person did for them to confirm. The Power-Up is available on Solo, Pro, and Business, including active trials, from the public Trello Power-Up directory.
Approve the hours, then invoice from them
On Pro and Business, a reviewer approves timesheets before the period closes. Approved hours become Keito estimates, invoices, recurring invoices, and client-ready reports, with Stripe invoice payments.
02
Board tool or billable-hours tool
Trello organises the work. Keito bills the team’s hours.
Trello’s pricing page (checked 2026-10-16) lists a Free plan for up to 10 collaborators per Workspace, then Standard at $5 USD, Premium at $10 USD, and Enterprise at $17.50 USD per user per month when billed annually. Every Workspace member counts as a billable user on paid plans. The plans list cards, boards, views, automation, and Power-Ups, but no native timesheets, billing rates, or client invoicing; teams that bill by the hour rely on Power-Ups and other tools for that. Keito is not a kanban board, card workflow, or team task manager, so it is not a like-for-like replacement for Trello. Its case is that billable time, its approval, and the invoice built from it belong in one reviewed record at a published flat price.
Choose Trello, or another board tool, when the core need is visual task management: lists, cards, due dates, and automation
Choose Keito when the problem is billable hours: capturing time by client and project, approving it at each person’s rate, and invoicing from approved time
Prove it in one billing period: track time from your Trello cards with the Keito Power-Up and compare invoices built from approved hours with your current spreadsheet process

What Keito adds to Trello alternative
Track time where the cards already are
The Keito Power-Up adds timers and manual time entry to Trello cards on Trello web and the macOS desktop app. Each entry is recorded in Keito against a project and task with the card link attached, and time totals stay private from board members without an authorised Keito account.
Timers and manual entries on Trello cards
Card link saved automatically with each entry
Board report of authorised totals across up to 200 visible cards
Rates and approvals without per-seat billing sprawl
Trello prices paid plans per Workspace member. Keito Pro, at $49 USD/month per workspace with no per-user fees, includes per-member billing rates, timesheet and expense approvals, and project-scoped approval workflows.
Per-member billing rates
A reviewer distinct from the person who worked the time
Project-scoped approval workflows
Invoices and client reports from approved hours
Keito builds estimates, invoices, recurring invoices, and client-ready reports from approved hours, with Stripe invoice payments, and copies invoices to QuickBooks Online or Xero on Business so the books stay in your accounting tool.
Invoices built from approved time
Client-ready reports by project and task
Stripe invoice payments on every paid plan

Compare the workflow
The difference is not just recording time. It is whether the record can support billing, project decisions, and client conversations.

How time is captured

No native timesheets; time tracking comes from third-party Power-Ups or a separate spreadsheet.
Rates and approvals
Per-member billing rates, timesheet approvals, and project budgets on Pro and Business.
No built-in billing rates or timesheet approval; custom fields and automation can approximate parts of it.
Invoicing
Estimates, invoices, and recurring invoices built from approved hours on every paid plan, with Stripe payments.
No client invoicing; teams export hours and invoice in accounting or invoicing software.

Working together
The Keito Power-Up tracks time from Trello cards on every plan, with installation from the public Trello Power-Up directory; Keito does not write time or billing data to shared board storage.
Keeps boards, lists, and cards; Keito never moves cards or changes board workflow.
It is software a team uses instead of, or alongside, Trello, the visual board tool for lists and cards. Some teams move to another task tool such as Asana, monday.com, or ClickUp for more structure. Agencies and consultancies that bill by the hour often need a better home for billable time instead. Keito is that alternative: AI-drafted or card-tracked time each person confirms, approved by a reviewer, then turned into invoices and client reports.
Does Trello have time tracking and invoicing?
Trello’s plans do not include native timesheets, billing rates, or client invoicing. Teams add a third-party time-tracking Power-Up or keep hours in a spreadsheet, then build invoices in QuickBooks, Xero, FreshBooks, or similar. Keito covers that step: time tracked from Trello cards with the Keito Power-Up, or drafted by AI, is approved at each person’s rate and becomes estimates, invoices, recurring invoices, and client reports.
How much does Trello cost compared with Keito?
Trello’s pricing page (checked 2026-10-16) lists Free for up to 10 collaborators per Workspace, then Standard at $5 USD, Premium at $10 USD, and Enterprise at $17.50 USD per user per month billed annually. Keito publishes flat workspace pricing: Solo at $19 USD/month for one licensed user, Pro at $49 USD/month with timesheet approvals and billing rates, and Business at $199 USD/month, with no per-user fees.
When should a team keep Trello instead of switching to Keito?
Keep Trello when the main need is visual task management: boards, lists, cards, due dates, and automation. Keito is not a kanban board, so it is the wrong choice for replacing those. Many teams keep both: Trello for the work itself, and Keito for capturing billable hours, approving them at each person’s rate, and invoicing from approved time.
Can I use Keito with Trello, or move my time tracking from Trello to Keito?
Yes. The Keito Power-Up lets each team member start timers and log completed time from Trello cards into Keito, with the card link saved on the entry. It works on Trello web and the macOS desktop app on Solo, Pro, and Business, including active trials. Add it from the public Trello Power-Up directory or find the install link in Keito under Settings > Integrations > Trello. Keito does not import Trello boards, so you set up clients, projects, and tasks once and start the next billing period there. Teams moving from Harvest can import their Harvest data first.
How does Keito turn approved hours into invoices and client reports?
Each approved entry in Keito carries the client, project, task, person, duration, description, billable status, rate, reviewer, and approval state. Keito builds estimates, invoices, and recurring invoices from those approved hours, accepts Stripe invoice payments, and produces client-ready reports by project and task. On Business, invoices can be copied to QuickBooks Online or Xero for the books.
