Quick answer

What must a UK invoice include?

A UK invoice needs a unique number, your details and your customer’s details. It must also describe the work, give the supply and invoice dates, and show the total owed. VAT-registered businesses must also show their VAT number and the VAT details listed below.

Every UK invoice

  • A unique invoice number
  • Your business name, address and contact details
  • Your customer’s business name and address
  • A clear description of what you are charging for
  • The date the goods or services were supplied
  • The date of the invoice
  • The amount for each item and the total amount owed

Extra details on a VAT invoice

  • Your VAT registration number
  • The time of supply (tax point), if it differs from the invoice date
  • The unit price, quantity and VAT rate for each line
  • The total excluding VAT and the total VAT charged, in sterling

Sole traders should show their own name as well as any business name. Limited companies should use the full registered company name. If you are not VAT registered, do not add VAT: set Tax mode to No tax in the generator above.

FAQ

UK Invoice Generator questions

How do I make an invoice in the UK?

Add your business details and your customer’s details, give the invoice a unique number, then list each item with its price. Set the issue date, due date and VAT if you are registered. Check the total, then download the PDF and send it to your customer.

What extra details does a UK VAT invoice need?

A VAT invoice must also show your VAT registration number and the VAT rate for each item. Add the time of supply if it differs from the invoice date, plus the total VAT charged. You must issue one when you supply standard-rated or reduced-rated goods or services to another VAT-registered business.

Do I add VAT if I am not VAT registered?

No. Only VAT-registered businesses can charge VAT. If you are not registered, set Tax mode to No tax so the invoice shows the total without VAT.

Can I use this as a free UK invoice template?

Yes. The UK preset fills in GBP, a 20% VAT rate and VAT number labels. Save it as a local template in your browser and reuse it for your next invoice without starting again.

Is this uk invoice generator free?

Yes. The tool runs in your browser, does not require an account, and does not upload invoice data to Keito.

Can I download the invoice as a PDF?

Yes. Enter your email once to unlock downloads, then use the PDF button and choose Save as PDF in your browser print dialog. Only your email is sent to Keito; the invoice itself stays in your browser.

Can I add VAT, GST, or sales tax?

Yes. You can use no tax, one invoice-level tax rate, or per-line tax rates. Tax labels are editable.

Does the share link include invoice data?

Yes. The copied share link encodes invoice fields in the URL. The logo remains local to your browser.
