Bulk Working Schedules
Apply a weekly working schedule to selected people without editing every profile. This tool is available to workspace owners and administrators on Pro and Business and is off by default.
For an individual or uneven daily schedule, use the person’s Working days editor.
Enable the tool
- Open Team → Bulk working schedules.
- Select Enable bulk working schedules.
- Set Default hours per week and the default working days.
- Choose Save workspace defaults.
These defaults belong to the bulk tool. Saving them does not change anyone’s schedule or the workspace’s existing capacity default.
Preview and apply a schedule
- Under Schedule to apply, enter Hours per week and choose working days.
- Set Effective from to today or a future date in the workspace’s timezone.
- Search and select up to 100 people. Selections remain when you search or change pages; use Review selected people to check the full selection.
- Leave Include selected people with custom schedules off unless you intend to replace those schedules from the selected date.
- Choose Preview schedules.
- Review every person’s current schedule, result, exclusion reason and preserved future version. Check the will update, excluded and unchanged counts.
- Choose Apply schedules.
Hours are spread evenly across the selected days. For example, 37.5 hours over Monday to Friday gives 7.5 hours per day. Only selected, eligible people are changed.
If permissions, people or schedules change after the preview, create a new preview before applying. A stale preview is refused rather than applying an out-of-date selection.
Custom schedules and history
Custom schedules are excluded by default. Including them deliberately replaces their pattern from the chosen date. A two-week cycle becomes the weekly schedule you previewed; existing later-dated versions still take effect when their date arrives.
Earlier schedule history is preserved. Open Team → person → Working days to inspect dated versions. The bulk tool starts changes today or later; it is not a historical backfill tool.
Eligible imported people can receive a schedule without an invitation or sign-in activation. Selecting a contractor does not change their member type or identity.
Check the result
Reopen the person’s Working days history and review the relevant dates in Team, Plan or the timesheet’s expected hours. A future schedule changes expected hours from its effective date; earlier dates retain their existing schedule. Contracted capacity and date-specific expected hours can describe different periods.
Turning the bulk tool off stops new bulk applications; it does not undo saved schedules. Change a person’s schedule explicitly through the normal working-days editor when needed.
