Find and filter invoices

The invoice list opens on Open & Draft so the documents that usually need action are shown first. Paid and closed invoices remain in Keito but are hidden from this default view.

Choose the right status view

Use the buttons above the invoice list to change its scope:

View What it shows
Open & Draft Draft invoices plus sent invoices that remain open. This is the default.
Needs attention Open invoices with a remaining balance that are overdue or due within the next 14 days.
All Every invoice state, including paid and closed history.
Draft Draft invoices only.
Open Sent invoices that remain open.
Paid Fully paid invoices only.
Closed Closed or written-off invoices only.

Search and client filters work inside the selected status view. For example, searching while Open & Draft is selected will not return a paid invoice. Select All first when you do not know the invoice state.

Search invoices

The search box matches:

  • invoice number;
  • client name;
  • subject;
  • purchase order number;
  • invoice line-item description;
  • project name or project code.

For a specific historical document, select All, leave it selected, and enter the exact invoice number. Search is not case-sensitive.

Use the client menu beside search to restrict results to one client. Select All clients to remove that restriction.

Sort by issue date

Select the Issue Date column heading to sort the visible result set:

  • the first selection sorts newest-first;
  • select Issue Date again to reverse the order and show the oldest invoices first.

The arrow on the column heading indicates the active direction. You can also sort by Status, Invoice, or Client.

For older imported invoices, a reliable sequence is:

  1. Select All.
  2. Clear any client filter unless you need one.
  3. Search the exact invoice number, or select Issue Date until the oldest dates appear first.
  4. Use Previous and Next below the list when the result spans multiple pages.

Keito shows 20 invoices per page. Changing the status view, search, client filter, sort order, or page updates the address, so returning from an invoice preserves the current list view.

Dashboard dates do not filter the list

On plans that include the invoice earnings dashboard, the currency, year, last-12-months, and custom-range controls apply to the summary and earnings widgets. They do not limit the invoice list below them.

Use the status buttons, invoice search, client menu, and sortable list columns to find an invoice. The current invoice list does not have a separate issue-date range filter.

Imported Harvest invoices

The Harvest importer does not apply an invoice-date or year cutoff. Paid and closed source invoices are imported with those states and are hidden from Open & Draft until you choose All, Paid, or Closed.
