Permission Templates

Reuse a set of permission choices for selected people in one workspace. Templates are available to workspace owners and administrators on Pro and Business and are off by default.

A template is a saved set of choices. It does not become a new access level, change someone’s role or automatically apply later edits. See Roles & Permissions for individual access and teammate/project assignments.

Create a template

  1. Open Team → Permission templates.
  2. Turn on Enable permission templates. The workspace setting saves when you change it; saved templates can also be created while the tool is off.
  3. Choose New template.
  4. Name the template and choose Member or Manager to match its intended recipients’ existing role.
  5. Set the permission choices shown in the editor, then save.

Choose only the access that role needs. Reporting-role labels, such as Designer or Consultant, remain separate from permissions.

Preview and apply

  1. Select a saved template.
  2. Select up to 100 eligible people who already have the matching role. Changing the people search clears the selection and preview.
  3. Choose Preview permissions.
  4. Review each person’s before-and-after changes and any exclusions.
  5. Choose Apply permissions when the preview is valid.

Applying replaces the permission choices shown in the template editor, including switching off choices that are unchecked. Permissions outside the editor remain unchanged. Read the preview before applying to someone with a custom setup.

The template does not change roles, assigned teammates, project assignments or task restrictions. A manager still needs the relevant teammate/project scope; a permission switch alone does not grant workspace-wide access. If the template, people or permissions change after preview, refresh and preview again.

Who can receive a template?

Recipients must be eligible people in the selected workspace with the same existing Member or Manager role as the template. The tool excludes the person applying it, owners and administrators, clients, accountants, managed contractors, inactive or erased people, and mismatched roles.

Eligible imported people are not invited or given sign-in access by applying a template. Invitations remain a separate action.

Edit, delete or disable

Editing a saved template does not change anyone who received it earlier. To apply the revision, select the intended people and repeat preview and apply.

Deleting a template or disabling the tool does not undo permissions already applied. Change those permissions explicitly through a new template application or the person’s Permissions tab.
