Working Across Multiple Workspaces

One person can use the same email address and Keito identity in more than one workspace. This is useful when an administrator supports separate departments, a consultant works with several organisations, or an accountant serves several clients.

Each workspace remains independent. Joining another workspace does not combine clients, projects, reports, billing, settings, or integrations.

Join another workspace

The Owner or an authorised Administrator of the other workspace sends an invitation to the email address you already use for Keito. Open the invitation and sign in with that existing identity.

The standard invitation acceptance flow adds the membership to the intended workspace. You do not need a second email address, and you should not create another Keito account to work around an “already has an account” message.

Accountant invitations use the same acceptance flow, but only the workspace Owner can assign the Accountant profile. See Invite and Manage an Accountant.

Choose and switch workspaces

Only one workspace is active at a time in a browser session.

  1. Open the workspace control in Keito.
  2. Check the signed-in email and the current workspace.
  3. Choose Switch workspace.
  4. Select the workspace you want to enter.

Keito verifies the membership, workspace status, plan, and any workspace security requirements before changing the active workspace. A failed or cancelled switch leaves the previous workspace active.

Switching a workspace is not the same as switching accounts. Your identity stays the same, and Keito does not merge, copy, or transfer records.

Roles and permissions stay independent

Every workspace owner controls that workspace’s membership. The same person can be an Administrator in one workspace and a different role in another.

Permissions do not carry across a switch. Keito evaluates the selected workspace’s current role and grants again, so access removed by an owner is not retained by an old tab or credential.

Keep workspaces separate

After switching, check the workspace name before changing records or downloading reports. Browser pages, API requests, exports, attachments, and integration actions are bound to their authorised workspace.

A stale browser tab from the previous workspace cannot silently submit its old form into the newly selected workspace. Keito rejects stale requests and asks the page to refresh or return to the correct workspace.

Connections such as Xero, QuickBooks, Slack, Basecamp, and connected AI apps stay bound to their configured workspace. Switching the browser never moves or rebinds a connection.

Running timers

Switching does not move or silently stop a running timer. If a timer is running in another workspace, Keito prevents a conflicting timer start and asks you to return to the original workspace and stop it first.

Separate tabs and devices

Different browser sessions or devices can have different active workspaces for the same identity. Changing one session does not redirect an independently signed-in device. Within the same browser session, an older tab detects the workspace change and cannot continue using stale access.

Common questions

Do the workspaces share billing or reporting?

No. Plans, subscriptions, reports, settings, integrations, and business records remain separate. Multi-workspace access does not create consolidated reporting.

Can I use different permissions in each workspace?

Yes. Each workspace evaluates its own membership. An Owner or Administrator manages ordinary roles; Accountant access is owner-only.

Why is a workspace missing?

The invitation may still be pending, the membership may have been archived, or the workspace may require an additional security step. Contact that workspace’s Owner. Access to your other workspaces is unaffected.
