ClickUp Integration

Sync time tracked with ClickUp’s native timer into Keito for timesheets, reporting, approvals, and invoicing. You can also send completed Keito entries to ClickUp when they are linked to a ClickUp task. Native time sync works without a browser extension.

Availability: ClickUp is a design-partner beta, enabled by approval for individual Keito workspaces. If ClickUp is missing from your integrations, contact support to discuss access and a setup walkthrough.

Connected does not mean setup is complete. Each person tracking time must connect their own ClickUp account, and a Keito administrator must map the ClickUp locations to an active Keito project and task. Without a matching location mapping, time is skipped rather than assigned to a project automatically.

Before you connect

  • A Keito owner or administrator must make the first connection using a ClickUp Workspace owner or administrator account. Each Keito workspace connects to one ClickUp Workspace.
  • A ClickUp owner or administrator must enable the Time Tracking ClickApp in each Space you want to map. Keito disables Spaces where native time tracking is off.
  • Create or choose the active Keito projects and tasks that should receive the time. Each mapped task must be assigned to its project.
  • Give the people tracking time permission to track time on the mapped Keito project. Connecting ClickUp does not grant project access.

ClickUp OAuth does not offer granular scopes. Review the authorisation screen: Keito can access resources available to the authorising ClickUp account in the Workspaces you approve. Each member uses their own authorisation; connecting the administrator does not connect everyone else.

1. Connect the workspace and your account

  1. Open Settings > Integrations > ClickUp in the intended Keito workspace.
  2. Select Connect ClickUp, sign in to ClickUp, and authorise the intended Workspace.
  3. If Keito asks you to Choose one Workspace, select it and choose Use this Workspace. The first connector must be a ClickUp owner or administrator for that Workspace.
  4. On returning to Keito, confirm that Connection names the intended ClickUp Workspace and that Your ClickUp account shows your account.

Ask every team member who will track ClickUp time to open the same settings page and select Connect my account. They must authorise the already-connected ClickUp Workspace. Keito uses that explicit connection to attribute time to the right person; it does not guess from matching email addresses.

2. Map ClickUp locations to Keito projects and tasks

An administrator with their own ClickUp account connected configures Location mappings on the same settings page. A manager can maintain mappings for projects they manage only when an administrator has granted the ClickUp mapping permission.

  1. Choose a Space with time tracking enabled.
  2. Optionally choose a Folder, then a List, to narrow the mapping. Leaving both empty maps the whole Space; choosing a Folder without a List maps that Folder.
  3. Select the receiving Keito project.
  4. Select the Required Keito task assigned to that project.
  5. Leave Billable set to Inherit Keito rules unless you deliberately need a billing override.
  6. Select Save mapping and confirm that the saved location, project, and task appear in the mapping list.

Repeat for other locations that should send time to different projects or tasks. The most specific mapping takes precedence: List, then Folder, then Space. Removing a specific mapping does not silently send its time to a broader mapping; review that location’s setup before tracking more time.

For example, map a ClickUp List called Website delivery to the Keito project Website redesign and its task Development. Completed ClickUp time on tasks in that List can then enter the selected Keito project and task. These names are examples; choose your team’s actual destinations during setup.

Mappings route time. They do not copy ClickUp projects or tasks into Keito or create missing Keito projects. ClickUp’s billable flag does not replace the mapped Keito billing policy.

Current mappings are at Space, Folder, or List level. If your team represents each project as a ClickUp task and its features as subtasks, this beta does not provide a task-level project mapping. Discuss that structure with support before starting a pilot; a location mapping does not automatically give each parent task its own Keito project.

Optional: match existing project names

Administrators can select Spaces to match, choose a required task, and select Preview project matches. Keito compares ClickUp Folder names with existing Keito project names. Review the results before choosing Match existing projects.

Only unambiguous matches are saved, the selected task must belong to or be assigned to each matched project, and existing mappings are preserved. Review suggestions or ambiguous names manually. Automatic event matching is separately gated; a preview or bulk match does not enable it. For the first test, saving one explicit location mapping is the simplest way to verify the destination and retry eligible skipped time.

3. Verify a completed ClickUp timer

Use a small test entry before the team relies on the integration:

  1. Confirm that the person testing has connected their own account and can track time on the mapped Keito project.
  2. Open a ClickUp task inside the mapped location. Start a new native ClickUp timer after the workspace connection was created, then stop it after a short interval.
  3. Open that person’s Keito day timesheet for the timer’s start date. Check the project, task, duration, billing treatment, and ClickUp task link.
  4. If it has not appeared, inspect Sync health on the integration settings page and resolve any skipped-entry reason below.

Only completed, positive-duration, task-linked entries are imported. A running ClickUp timer is not a second running Keito timer and does not enter completed financial totals. The imported date follows the member’s timezone; a timer crossing midnight stays on its start date. Displayed totals can reflect your Keito rounding settings.

Sync runs in the background, rather than instantly. Webhook work is processed by the minute worker; recovery reconciliation is scheduled every 15 minutes. Provider limits, connection problems, and retries can delay a particular entry. Last webhook and Last reconciliation show activity, but a successful connection or recent reconciliation does not prove that a particular entry was imported.

The beta does not backfill time that started before the workspace connection, including a timer started earlier and stopped after connecting. Do not recreate a missing historical entry until you have reviewed it with support and ruled out duplicates.

Optional: send stopped Keito time to ClickUp

In Keito, choose a mapped project and task, then select the ClickUp task on the time entry. Save manual time or stop the Keito timer. With Sync stopped Keito entries enabled, Keito queues native ClickUp time for the explicitly connected member. Running Keito timers are not sent.

Track each interval in one application. Starting separate timers for the same work in both applications can create overlapping intervals that need review. A Keito timer button inside a ClickUp task is a separate private Chrome beta; the public Chrome extension does not currently provide that ClickUp button. Native ClickUp time sync does not require it.

Troubleshooting missing or skipped time

Connected, but no time arrives

Confirm the member’s own connection, a saved location mapping, project tracking access, and a completed task-linked interval started after connection.

Unmapped location

For UNMAPPED_LOCATION, save a mapping for the task’s Space, Folder, or List, including the required active Keito project and task.

Member not connected

For USER_NOT_CONNECTED, ask the person who tracked the time to select Connect my account and authorise the connected Workspace.

Member cannot track time on the mapped project

For USER_CANNOT_TRACK_MAPPED_PROJECT, an administrator must review the person’s project assignment and tracking permission. Check that the mapped project and task remain active.

A Space cannot be selected

Enable native Time Tracking in that ClickUp Space, then reload the settings page.

Webhook suspended

A Keito administrator should review the connection and use Reactivate webhook when available. This needs the connected ClickUp webhook owner’s authorisation. Contact support if it suspends again.

Failed or pending sync

Read the error and connection status in Sync health. Resolve the underlying issue before using Retry on an eligible failed or skipped row.

Saving or updating a manual mapping queues eligible entries previously skipped for missing mappings or project tracking access to be checked again. Connecting a member also queues that member’s eligible unconnected-user skips. These retries still require a valid mapping, active project/task, and tracking permission. They do not import unrelated historical time. If a row remains skipped after the configuration is fixed, use its Retry action or ask support to review the reason.

For a walkthrough, bring the ClickUp locations you want to sync and the intended Keito project and task for each. Contact support with the approximate test time and the visible status or reason. Do not send access tokens or confidential task content.

Edits, deletions, and financial protection

The standard beta creates completed time; it does not promise unrestricted two-way editing or deletion. Imported ClickUp time is read-only in Keito unless safe interval corrections have been explicitly enabled for your workspace. Where available, use Edit ClickUp interval in Entries or Correct interval on an expanded day/week interval. Existing differences can require an explicit Keep Keito or Keep ClickUp choice.

Submitted, approved, billed, invoiced, closed-period, and otherwise locked time remains protected. A change in ClickUp does not authorise silently replacing that financial record. Deletion propagation is unavailable in the standard beta; do not assume deleting time in one application deletes it in the other. Ask support before attempting a correction or cleanup across both systems.

Disconnect safely

Disconnect me removes your personal ClickUp connection. If your account owns the company webhook, transfer webhook ownership to another connected ClickUp owner/administrator first, or disconnect the company integration.

An administrator can choose Disconnect ClickUp in Disconnect company to stop the workspace integration and remove its stored tokens and webhook secret. Existing Keito time, non-secret mappings, and sync history are retained. Review those records and the saved configuration before reconnecting.
