Correcting Approved Time

Owners and administrators can correct a teammate’s approved time entry without deleting it and recreating it from scratch.

This is useful when a reviewer needs to move time to a different task, adjust the duration, update notes, or move the entry to another project the teammate is assigned to.

Who Can Use This

Only workspace owners and administrators can open approved time entries for correction.

Managers and regular team members do not see this correction action. Existing approval and locking rules still apply.

Correction Flow

  1. Go to Time > Approval.
  2. Use the status dropdown to choose the approval queue you want to review.
  3. Click a teammate’s name to open their approval detail page.
  4. Click the time entry row that needs correction.
  5. Keito opens that teammate’s day timesheet and highlights the selected entry.
  6. Click Withdraw approval to edit.
  7. Keito unlocks that single entry and opens the edit dialog.
  8. Change the project, task, notes, or duration.
  9. Click Save.
  10. Click Back to submitted review to return to the approval queue.
  11. Review the corrected entry and approve it again.

What Happens Behind The Scenes

When you click Withdraw approval to edit, Keito changes that one entry from Approved back to Submitted and removes the approval lock from the entry.

The entry is not deleted. It remains in the teammate’s timesheet, keeps its audit history, and can be approved again after the correction is saved.

Why The Entry Disappears From Approved

After an approved entry is withdrawn for correction, it no longer belongs in the Approved filter. It moves back to Submitted.

If you return to the approved approval screen and the entry is missing, switch the status dropdown from Approved to Submitted. The corrected entry should appear there.

Keito also changes the return button to Back to submitted review after withdrawal so you are taken to the queue where the corrected entry now belongs.

Project And Task Choices

The project dropdown only shows projects the teammate is actively assigned to. If another project is not listed, assign the teammate to that project first, then reopen the edit dialog.

After a project is selected, the task dropdown shows the tasks available for that project.

No Submit Button On Day View

The day timesheet does not have a separate submit button. Submission is handled from the weekly timesheet flow.

For this correction workflow, no extra submit step is needed. Withdrawing approval changes the entry back to Submitted, so after saving the edit it is already waiting in the submitted approval queue.

Locking And Invoicing Rules

Keito does not allow automatic correction for entries that are billed, invoiced, or locked for a reason unrelated to approval. Those entries stay locked to protect invoicing and accounting history.

If an entry cannot be withdrawn automatically, Keito shows a locked-entry message instead of the correction action.

Expenses

This correction flow applies to time entries. Expenses remain in the approval review and correction flow separately.
