Review and Import Calendar Events

Google Calendar and Outlook Calendar imports are included on Solo, Pro and Business, starting with Keito v1.1.464. Choose the events you worked on, review their time-entry details, then save. Selection and review never create time entries on their own.

Choose Events from Day or Week

  1. Connect Google Calendar or Outlook Calendar under Settings → Integrations.
  2. Open Time and select Day or Week and the date you want to fill in.
  3. Open Calendar and choose a calendar.
  4. Select individual events, or choose Select first 50. You can review at most 50 occurrences at once.
  5. Choose Review.

Keito excludes cancelled, declined, all-day and invalid or zero-duration events. Import only events that represent time you actually worked. Calendar appointments can overlap with other appointments or existing tracked time; check the warnings and your timesheet before Save.

Review Before Save

For each event, check:

  • Project and task: choose an available assignment in your workspace.
  • Notes: edit or remove private details. Changing the task preserves the reviewed notes.
  • Hours and day segments: adjust the duration to the time you worked. Overnight events include every local day they span; Day and Week both review the complete occurrence.
  • Billability: normal project/task defaults and workspace permissions apply. When billability overrides are enabled and you have permission, you can change the Billable selection.
  • Mapping: check whether the project/task came from a saved rule, recurring suggestion or manual choice.

Your usual time-entry rules still apply, including required notes, task restrictions, hours limits and approved or locked timesheets. Nothing is saved until you choose Save.

Saved notes have the normal visibility of workspace time entries. Remove appointment details you do not want colleagues to see before saving. Calendar-derived entries are excluded from AI-agent/MCP access and Jira/ClickUp propagation; ordinary Keito workspace visibility still applies.

Save Project/Task Mapping Rules

In review, choose a project and task, enable Save a mapping rule for this account, and enter the Title contains text to match.

For example, a rule containing weekly review can match both “Weekly Review” and “Client weekly review”. Matching ignores case and uses literal title text. It does not match attendee domains, event descriptions or regular expressions.

Rules belong to your connected account and provider in the current workspace. Your manual selection takes precedence. An unambiguous saved rule is used next, followed by a valid recurring-event suggestion. Conflicting rules or unavailable projects/tasks require a manual choice.

Open Saved mapping rules in the calendar drawer to inspect or delete rules. New or changed rules do not rewrite time you already saved.

Save Results and Retry

Choose Save after reviewing the entries. Keito reports an outcome for each event; a batch can contain both successful and failed saves.

Successful events stay saved. Correct the remaining rows, reconnect if requested, or wait for a displayed provider cooldown, then choose Retry. Retry only unresolved or failed events rather than starting the whole batch again. Keito keeps operation receipts for seven days so repeating the same save can return its original result.

The same occurrence is normally protected against duplicate imports. If an overnight occurrence has several saved day segments, deleting only some of them does not make the whole event available to import again. Deleting all its segments permits a fresh import.

Connection Changes

Reauthorizing the same account after a reconnect request retains saved time and duplicate protection. Replacing the connected account resets its old drafts, calendar defaults and recurring suggestions.

Explicit Disconnect erases credentials and calendar linkage while retaining saved time and notes. Because disconnect removes duplicate claims, historical events may become importable again after reconnect. Check existing time before importing older events.

Keito reads your calendar and never changes provider events. There are no background automatic imports; you always review and save in Keito.
