Project and Task Picker Ordering

When you create a time entry, Keito first asks for a project and then shows the tasks available for that project. You can choose whether these pickers prioritise your recent activity or keep every choice in alphabetical order.

This is a personal preference. Changing it affects only your own Track time pickers; it does not change the order seen by anyone else in the workspace.

Change the Order

  1. Open Settings.
  2. Select Preferences.
  3. Find Project and task picker order under Your preferences.
  4. Select Edit.
  5. Choose Recent activity first or Project and task A–Z.
  6. Select Save.

The choice applies to new time entries in both Day and Week views. It does not reorder time entries that have already been recorded.

Compare the Two Options

Project codes are shown when available, but project ordering uses the project name. Numeric parts of names are sorted naturally, so a name ending in 2 appears before the same name ending in 10.

How Recent Activity Works

Recent activity first uses your valid recent project-and-task combinations. It never expands what you can access.

  • A recent project is shown in Recent instead of being repeated under its client.
  • The client name appears below every Recent project, which helps distinguish projects with the same name.
  • After you select a project, its recently used tasks move ahead of the other tasks in the same billability group.
  • Old combinations disappear automatically when the project or task is no longer active or available to you.

If you want every project to remain under its client even when you used it recently, choose Project and task A–Z.

Favourites Are Separate from Ordering

Favourites are saved project-and-task combinations. They remain available with either ordering option.

  • Select a project and task, then use the favourite action to save the combination.
  • Open Saved combinations to choose a favourite and fill both fields together.
  • Remove a combination from favourites when you no longer need the shortcut.

Changing the picker order does not add, remove, or reorder your saved combinations. A favourite that is no longer valid is not offered.

Project Groups and Order

Outside the Recent group, projects are organised as follows:

  1. Projects without a client appear in No Client, before the named client groups.
  2. Client name, A–Z.
  3. Project name, A–Z within that client.

Only active projects that you can track time against are shown. Project assignments and task restrictions still apply, regardless of your ordering preference.

Task Groups and Order

Tasks are shown only after you select a project. They are kept in separate Billable and Non-billable groups so that billing context remains visible. The Billable group appears first, followed by Non-billable.

With Recent activity first, recent tasks lead their existing billability group and the rest follow A–Z. With Project and task A–Z, every task is A–Z within its group. Parent-task context is shown for subtasks and can also be searched.

Search and Keyboard Use

The project picker searches client names, project codes, and project names. The task picker searches task names and parent-task names.

  • Start typing while the closed picker is focused to open it and begin searching.
  • Use the arrow keys to move through matching choices.
  • Press Enter or Tab to select the highlighted choice.
  • Press Escape to close the picker without changing the selection.

Search filters the available choices; it does not change your saved ordering preference.

These similarly named settings control different parts of Keito:

  • New time entry project and task can start a new Day entry blank or reuse the latest project and task from that week. It does not control picker ordering.
  • Default time entry order controls rows in Detailed Time, not choices in Track time.
  • Default Time Entries grouping controls grouping on the Entries page, not the project and task pickers.
  • Weekly timesheet row order is a workspace setting for saved rows in Week view. It does not change your personal picker order.
