Changing and Reusing Project Codes

Project codes are sometimes called job numbers. Each code must be unique across your entire Keito workspace, including codes assigned to closed projects.

A closed project keeps its code so historical time entries, invoices, and reports continue to show the identifier used at the time. Closing a project does not automatically make its code available to another project.

Reuse a Code from a Closed Project

If Keito says that a project with the code already exists:

  1. Go to Projects.
  2. Change the Active projects filter to Archived projects.
  3. Search for the code you want to reuse.
  4. Select the archived project and choose Actions → Clear project codes.
  5. Return to Active projects, open the intended project, and choose Edit project.
  6. Enter the newly available code and save the project.

Clearing a project code does not delete the project or any of its history. If the closed project still needs an identifier, edit it and assign a different unique code instead of clearing it.

If Another Active Project Uses the Code

Open the active project that currently owns the code. Give it a different unique code, or clear the code if it no longer needs one. You can then assign the released code to the intended project.

Why Codes Must Be Unique

Unique project codes prevent ambiguity in project lists, time entry, reports, exports, and invoices. Keito applies the uniqueness rule across the whole workspace rather than separately for active and closed projects.
